This policy describes how we process personal data in connection with the use of the OlaFleet portal (fleet.olacar.app).
1. Data controller
The OlaFleet portal is operated by OlaCar, LLC, with operations in Uruguay through Loiroma SAS. Address: Av. Italia 6201, Edificio Los Naranjos, Montevideo, Uruguay. Privacy contact: flotas@olacar.app. In Uruguay, the processing is governed by Uruguay's Personal Data Protection Act (Law No. 18.331) and its implementing regulations, under the oversight of Uruguay's data protection authority (URCDP).
2. Two distinct roles
For the account and browsing data of the portal's Authorized Users, OlaCar acts as data controller. For the Client's fleet data—Drivers, vehicles, location, and trips—the Client acts as data controller and OlaCar as data processor, following the Client's instructions. Requests from individuals whose data the Client manages (for example, its Drivers) should be directed, in the first instance, to that Client.
3. What data we process
- Account data: name, email, phone, company, role, and credentials of the Authorized Users.
- Portal usage data: access logs, IP address, device or browser, and actions performed.
- Fleet and telemetry data: vehicle identification, location (GPS), engine status, trip history, Driver assignments, and Device events.
- Communications: messages and requests you send us.
- Cookies and similar technologies (see the corresponding section).
4. Purposes and legal basis
We process data to provide and operate the Service (fleet management, tracking, assignments, and remote functions), to authenticate and secure accounts, to provide support, to improve the Service, and to comply with legal obligations. The legal bases include performance of the contract or service, the legitimate interest in operating and securing the platform, consent where applicable, and legal compliance. With respect to Driver data processed on the Client's behalf, the legal basis is determined by the Client as data controller.
5. Who we share data with
We share data with providers who help us deliver the Service (processors), including, among others, infrastructure and hosting, vehicle telemetry, maps, messaging, and payments. We may also disclose data where required by law or by a competent authority, or to protect rights, safety, and integrity. We do not sell personal data.
6. International transfers
Some providers may be located outside Uruguay. In those cases, we adopt reasonable safeguards in accordance with Law No. 18.331 and its implementing regulations to protect the data.
7. Retention
We retain data for as long as an account or active service relationship exists, and for the additional period necessary to comply with legal obligations, resolve disputes, and enforce agreements. Fleet data processed on the Client's behalf is retained and deleted according to the Client's instructions and what has been agreed.
8. Security
We apply reasonable technical and organizational measures to protect data, including role-based access control, encryption in transit, and audit logs. No system is completely infallible; in the event of a material incident, we will act in accordance with the applicable regulations.
9. Cookies
The portal uses cookies and local storage necessary for its operation (for example, session, language, and theme) and, where applicable, for analytics.
10. Individuals' rights
Under Law No. 18.331, individuals may exercise the rights of access, rectification, updating, inclusion, and deletion of their data, as well as object to certain processing. To exercise them, write to flotas@olacar.app. If your data is managed by a Client (for example, your employer as the fleet owner), we will direct you to that Client. You may also file complaints with the URCDP.
11. Minors
The Service is directed at companies and not at persons under 18 years of age. We do not knowingly collect data from minors.
12. Changes to this policy
We may update this policy. We will publish the current version with its last-updated date and communicate material changes by reasonable means.
